Clinical Administrative Assistant and Access Specialist (Admin, Grants Pass)

Become a Clinical Administrative Assistant and Access Specialist at Kairos! The Clinical Administrative Assistant/Access Specialist provides administrative support to the Clinical Directors and is responsible for assisting in maximizing program capacity by responding to and tracking new client referrals. Duties include fielding inquiries from referral parties and coordinating with program staff, families, and community partners for the placement, admission, discharge, and intra-agency transfer of the youth and young adult population Kairos serves. Additionally, the CAA/AS determines insurance eligibility and ensures maximum 3rd party reimbursement, tracks contract requirements, ensures proper utilization in reporting and billing, and fulfills other administrative duties to support the smooth delivery of Kairos’ mission.

Over the many years it has grown in scope and now operates out of five counties. Kairos is licensed by the Oregon Department of Human Services and certified by the Oregon Health Authority, and has been accredited by The Joint Commission since 1984.
Successful candidates will have an associate’s degree in business or related field plus one year administrative assistant experience OR three years of equivalent combination of education and experience. Must be proficient in Microsoft Office, specifically MSWord, Excel, Publisher, and Power Point, and familiar with using Access or database. Demonstrable word processing, organizational, and oral and written communication skills are an essential requirement. Additionally, candidates familiar with electronic health record systems are preferred. The ideal candidate possesses the ability to network and maintain strong relationships with partners and actively participates in community service configuration and the planning and execution of meetings. Experience in provisional services for youth and family contract management and knowledge of intake and admission procedures strongly preferred.
Applicants will also need to have the ability to pass a background check and a Medicaid fraud check. Qualified candidates are required to have a valid driver's license with 3 years minimum driving experience and hold a safe driving record.
This is a full-time position, scheduled Monday-Friday from 8:30 a.m. – 5:00 p.m. Depending on the candidate’s experience, compensation ranges from $15.13-$20.99 per hour. In addition, all full-time employees with Kairos are eligible to participate in a number of agency-sponsored benefits. Kairos offers a comprehensive employee benefits program, including: Up to 96 hours of paid time off the first year, up to 40 hours of sick leave per year, 6 paid holidays per year (after 90 days of employment), health, dental, and vision (on the first of the month after 30 days of employment), life/ AD&D insurance ($20,000 for employee and $2,000 for spouse and dependents), 401K retirement (up to 3% employer matching and additional 3% contribution from employer after 1 year), and an employee assistance program (EAP) applicable to all members of the employee’s household.
